PRIVACY POLICY

Ruwan & Diana Photography is operated by Ruwan and Diana Photography LLC, a California limited liability company (“we,” “us,” or “our”). This policy explains what information we collect when you visit our website or work with us, how we use it, and the choices you have.

1. Information We Collect

Information you give us. This includes your name, email address, phone number, mailing address, and anything else you share when you send an inquiry, book a session, sign a contract, or subscribe to our newsletter. When you book, you may also tell us about your family, such as names, ages, and the places and traditions that matter to you. We use that only to plan and photograph your session.

Device and usage information. When you visit our site, we and our service providers automatically collect your IP address, browser type, device information, general location, and how you move through the site. This is collected through cookies and similar tools, described in Section 4.

Payment information. Invoices are sent through our client management system, 17hats, and payments are processed by Stripe. Stripe handles your payment details directly. We never see or store your full card number.

2. How We Use Your Information

We use your information to:

  • respond to your inquiry and manage your booking

  • send invoices and process payments

  • communicate with you about your session and your images

  • understand how visitors use our site, so we can improve it

  • send newsletters and offers, only if you’ve opted in

  • meet our legal obligations

3. Who We Share It With

We don’t sell, rent, or trade your personal information. We don’t share it for targeted advertising.

We share information only with the services that help us run the studio:

Each of these companies handles your information under its own privacy policy. We may also share information with legal authorities if the law requires it.

4. Cookies and Tracking

Cookies are small text files a website saves in your browser. They help the site work and tell us how it’s being used.

Essential cookies. Squarespace uses these to run the site, keep it secure, and remember choices like your cookie preference. The site can’t work properly without them.

Analytics. These tools help us understand which pages people visit and where the site could work better.

  • Squarespace Analytics counts visits, traffic sources, and page views. Its cookies are only set if you accept them in our cookie banner.

  • Google Analytics collects pages visited, time on site, device and browser details, and general location. Its cookies are only set if you accept them in our cookie banner.

  • Microsoft Clarity records clicks, scrolling, and mouse movement, and builds session recordings and heatmaps. Clarity runs on every visit. Our cookie banner doesn’t turn it off. Clarity hides what you type into form fields, so your messages and contact details aren’t recorded.

Embedded content. If a page includes embedded content, such as an Instagram post or a video, that service may set its own cookies under its own policy.

Tracking across other sites. Google and Microsoft may combine information from your visit with activity on other websites over time, under their own policies. We don’t use that information for advertising.

Your choices.

  • You can accept or decline analytics cookies from Squarespace and Google through our cookie banner.

  • You can block or delete cookies in your browser settings. This also limits Microsoft Clarity. Blocking essential cookies may stop some parts of the site from working.

  • You can opt out of Google Analytics on every site with Google’s browser add-on.

  • If you’d like us to delete any session data tied to your visit, email us and we’ll take care of it.

Do Not Track. Some browsers send a “Do Not Track” signal. There’s no agreed standard for responding to it, so our site doesn’t currently change its behavior when it receives one. The choices above still work.

5. Your Photographs

Images from your session are handled under your session contract. That contract explains who owns the images and whether we may use any of them in our portfolio, website, or social media. We don’t use images of you or your family in our marketing without the permission your contract describes.

6. Children’s Privacy

Our website is meant for adults. We don’t knowingly collect personal information online from children under 13. Information about children reaches us only from a parent or guardian, as part of planning a session.

7. How Long We Keep Information

We keep client records, contracts, and invoices for as long as we need them to serve you and to meet tax and legal requirements. Inquiry information from people who don’t book is kept only as long as it’s useful for following up. Analytics data is kept according to each provider’s retention settings.

8. Security

We use reasonable measures to protect your information. No website or internet transmission is completely secure, so we can’t guarantee absolute security.

9. Your Rights and Choices

You can ask us to:

  • show you the personal information we have about you

  • correct it

  • delete it, unless we need to keep it for legal or tax reasons

  • stop sending you marketing emails (every email also has an unsubscribe link)

California residents: we offer these rights to everyone, whether or not a specific law requires it of a studio our size. We don’t sell or share personal information, so there’s nothing to opt out of.

10. Changes to This Policy

If we change this policy, we’ll post the new version on this page and update the date at the top.
